1. Description of Service

ProcureMind.io is an AI-powered procurement data extraction tool that:

• Reads Gmail emails you select and extracts structured procurement data (vendor names, quotes, line items, totals)
• Processes uploaded PDF, Excel, and CSV files to extract procurement data
• Pushes structured data to your connected Google Sheets spreadsheet
• Stores extraction history in your account

Accuracy disclaimer: AI extraction is not 100% accurate. Extracted data should always be reviewed by a human before being used in purchasing decisions, purchase orders, or financial transactions. We are not liable for errors in extracted data.

2. Account Requirements

• You must be at least 18 years old to use the Service
• You must have a valid Google Account to sign in
• You are responsible for maintaining the security of your account
• You must provide accurate information when using the Service
• One account per individual or business — account sharing is not permitted

3. Acceptable Use

You may use the Service only for lawful procurement and business purposes. You must not:

• Use the Service to extract data from emails or files you are not authorised to access
• Attempt to abuse, overload, or exploit the Service (e.g., automated mass requests)
• Reverse-engineer, decompile, or scrape the Service or its AI models
• Resell, sublicense, or redistribute the Service without written permission
• Use the Service to process personal data in violation of applicable privacy laws
• Submit content that is illegal, harmful, or violates third-party rights

4. Subscriptions & Payment

Plans

The Service is offered on a subscription basis with the following plans:

• Free: Limited extractions per month, email-only, no credit card required
• Starter: Higher monthly extraction limit, PDF and Excel uploads included
• Pro: Unlimited extractions, all features included

Billing & Auto-Renewal

Paid subscriptions are billed monthly or annually in advance. Subscriptions auto-renew at the end of each billing period unless cancelled. Prices are shown in USD and may exclude local taxes.

Cancellation

You may cancel your subscription at any time from the Billing page in your dashboard. Access continues until the end of the current billing period. We do not offer prorated refunds for partial months.

Refunds

We offer a 7-day money-back guarantee on first-time paid subscriptions. To request a refund within 7 days of your first charge, email support@procuremind.io.

5. Intellectual Property

The Service, including its software, AI models, UI, and branding, is owned by ProcureMind.io and protected by intellectual property laws. You receive a limited, non-exclusive, non-transferable licence to use the Service subject to these Terms.

You retain all rights to the data you submit (your emails, files, and extraction results). We claim no ownership over your content.

6. Disclaimer of Warranties

THE SERVICE IS PROVIDED "AS IS" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, ACCURACY OF AI OUTPUTS, OR NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR THAT AI EXTRACTIONS WILL BE ACCURATE OR COMPLETE.

7. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, PROCUREMIND AI SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOSS OF PROFIT, LOSS OF DATA, OR BUSINESS INTERRUPTION, ARISING FROM YOUR USE OF THE SERVICE OR FROM ERRORS IN AI-EXTRACTED DATA. OUR TOTAL LIABILITY SHALL NOT EXCEED THE AMOUNT YOU PAID US IN THE 3 MONTHS PRECEDING THE CLAIM.

8. Privacy

Your use of the Service is also governed by our Privacy Policy, which is incorporated into these Terms.

9. Termination

We reserve the right to suspend or terminate your account without notice if you violate these Terms or engage in conduct that harms the Service or other users.

You may delete your account at any time from Settings. Upon deletion, your data will be removed in accordance with our Privacy Policy.

10. Changes to Terms

We may update these Terms from time to time. We will notify you by email or in-app notice for material changes. Continued use of the Service after changes take effect constitutes acceptance of the revised Terms.

11. Governing Law

These Terms are governed by the laws of Australia. Any disputes shall be resolved in the courts of New South Wales, Australia, unless applicable consumer protection laws in your jurisdiction provide otherwise.
